Wild & Fired BBQ School Booking Policy
These Booking Terms apply to all services provided by Wild & Fired and Lo & Slo, including on-site experiences, outside catering, private dining, demonstrations, BBQ school events, and food truck services (“we”, “us”, “our”).
By confirming a booking and/or paying a deposit, the client confirms acceptance of these Terms & Conditions.
1.1 A non-refundable deposit is required to secure all event dates and covers administrative time, event planning, and reservation of the event date.
1.2 Event dates are not confirmed until the deposit has been received.
1.3 All outstanding balances, final guest numbers, and confirmed menus must be received no later than one month prior to the event date, unless otherwise agreed for specific services.
1.4 For food truck bookings made within four weeks of the event date, full payment is required at the time of booking.
1.5 Failure to make payment by the due date may result in cancellation of the booking and release of the event date.
1.6 Event dates cannot be held provisionally without deposit unless otherwise agreed in writing.
2.1 Final guest numbers and menu selections must be confirmed no later than one month prior to the event date, unless otherwise stated for specific services.
2.2 This confirmed number represents the minimum chargeable number for the event and will be used for final invoicing and ingredient ordering.
2.3 Reductions after the one-month confirmation point cannot be refunded as ingredients, staffing, and event preparation will already have been committed.
2.4 Increases may be accommodated subject to availability and may incur additional charges.
3.1 Cancellation charges reflect costs incurred including food sourcing, staffing commitments, preparation, and lost booking opportunities.
3.2 More than 30 days prior to the event – deposit retained by Lo & Slo.
3.3 14 to 30 days prior – 50% of total booking value payable by the client.
3.4 Less than 14 days prior – 100% of total booking value payable by the client.
3.5 Date changes are treated as cancellations unless otherwise agreed in writing. Where Lo & Slo agrees to transfer a booking to a new date, this will be subject to availability and may incur additional costs. Deposits remain non-refundable.
4.1 Guests must follow all safety instructions relating to live fire cooking, hot surfaces, and outdoor terrain.
4.2 Participation in live-fire activities is voluntary and undertaken at the guest’s own risk.
4.3 Waivers may be required for participatory experiences.
5.1 Where agreed, Wild & Fired may supply catering equipment including plates, cutlery, glassware, service stations and live-fire cooking equipment (“Equipment”).
5.2 All Equipment remains the property of Wild & Fired.
5.3 The client accepts responsibility for Equipment from setup until collection and agrees to reimburse Wild & Fired for any loss, theft or damage (reasonable wear and tear excepted) at full replacement value.
5.4 Service staff are provided for the agreed service window. Additional time may incur further charges.
5.5 The client is responsible for ensuring the venue permits catering operations and for providing safe access, adequate working space, required permissions, and agreed utilities.
5.6 Wild & Fired is not responsible for delays or limitations caused by venue conditions.
5.7 Only items expressly included in the event proposal are included within the quoted price.
5.8 The client agrees to indemnify Wild & Fired for losses arising from guest conduct, venue conditions or third-party contractors, except where caused by proven negligence.
5.9 Lo & Slo shall not be liable for failure or delay caused by third-party suppliers, venue operators, or service providers outside our control.
This section applies specifically to Lo & Slo Food Truck bookings.
Booking & Payment
6.1 A booking is secured upon receipt of a 50% non-refundable deposit.
6.2 The remaining balance is due no later than four weeks prior to the event date.
6.3 Bookings made within four weeks require full payment at the time of booking.
6.4 Late payment may affect menu availability or service arrangements.
Guest Numbers
6.5 Guest numbers may be increased subject to capacity and availability.
6.6 Guest numbers may not be reduced below the agreed minimum booking.
Travel, Access & Site Requirements
6.7 Travel is included within 5 miles of BT47 5QP. Additional mileage is charged at £1 per mile beyond this radius.
6.8 The food truck requires solid, level ground with suitable vehicle access for a vehicle approximately 23ft long.
6.9 Clear access must be maintained throughout the event for safe operation and exit.
Power & Operation
6.10 Cooking is powered by onboard LPG gas.
6.11 A 240V mains electricity supply is required for lighting.
6.12 The client is responsible for ensuring suitable access and power availability.
Service Windows
6.13 Service operates strictly within the agreed service window.
6.14 Standard windows:
Lunch: 12:00pm – 2:00pm
Dinner: 5:00pm – 7:00pm
6.15 Most bookings operate as a continuous one-hour service period serving approximately 70 portions per hour.
6.16 Service cannot be paused, restarted or extended unless agreed in advance.
Menus & Ingredients
6.17 Each booking includes two menu items from the current food truck menu.
6.18 More than six vegetarian or vegan meals will be treated as an additional menu option.
6.19 Minor substitutions may be made where ingredients are unavailable or subject to seasonal supply conditions.
Cancellations
6.20 More than 30 days before event – deposit retained.
6.21 21–30 days before event – 60% of total booking value payable.
6.22 14–20 days before event – 75% payable.
6.23 Less than 14 days before event – 100% payable.
6.24 Outstanding balances must be paid within 14 days of cancellation.
6.25 Where Lo & Slo cancels, a full refund will be issued.
Alcohol
6.26 Alcohol is not served from the food truck.
6.27 Lo & Slo does not hold an alcohol licence for food truck operations.
Conduct & Safety
6.28 Respectful behaviour is required at all times.
6.29 Abusive, unsafe or threatening behaviour may result in termination of service without refund.
6.30 The client is responsible for maintaining a safe service area.
7.1 All dietary requirements and allergies must be communicated in advance of the event.
7.2 While food safety is taken seriously, an allergen-free environment cannot be guaranteed.
8.1 Wild & Fired and Lo & Slo do not sell or supply alcohol at Brook Hall Estate. No alcohol is available for purchase at any Wild & Fired or Lo & Slo event or experience held at Brook Hall Estate.
8.2 Wild & Fired and Lo & Slo hold no licence to sell or supply intoxicating liquor at Brook Hall Estate. Any alcohol present at an event is neither sold nor supplied by Wild & Fired or Lo & Slo.
8.3 Alcohol is not included in, or available as part of, any ticket, booking, or experience package at Brook Hall Estate.
8.4 Where alcohol is present at an event at Brook Hall Estate, it has been brought by guests or provided independently by a licensed third party. Wild & Fired and Lo & Slo accept no responsibility for alcohol brought onto the premises by guests or third parties, which remains the sole responsibility of the individual or licence holder concerned.
8.5 Guests who wish to bring their own alcohol (BYO) to Brook Hall Estate may do so subject to prior arrangement. A personal limit of two alcoholic drinks per person applies at all times.
8.6 Wild & Fired reserves the right to operate any event at Brook Hall Estate on a strictly alcohol-free basis, or to require the removal of alcohol from the premises, at its absolute discretion.
8.7 All guests must comply with applicable licensing laws and any policies specific to Brook Hall Estate regarding the possession and consumption of alcohol.
9.1 Our menus rely on seasonal produce, high quality ingredients, and specialist suppliers.
9.2 Quotations are based on supplier pricing at the time of booking.
9.3 Where significant increases occur in the cost or availability of key ingredients due to seasonal factors, supply disruptions, inflation, or wider economic conditions, Lo & Slo reserves the right to make reasonable menu substitutions or discuss ingredient cost adjustments where necessary.
9.4 Any changes will be communicated in advance and agreed with the client wherever possible.
9.5 Wherever feasible, substitutions of equal quality and value will be offered before any pricing adjustment is considered.
8.5 Wild & Fired reserves the right to require events to operate as alcohol-free, or to offer non-alcoholic alternatives, where appropriate.
8.6 Guests must comply with all applicable licensing laws and venue policies regarding the consumption of alcohol.
10.1 The client is responsible for ensuring that all guests behave in a respectful and safe manner throughout the event.
10.2 Lo & Slo reserves the right to suspend or terminate service where behaviour presents a risk to staff, guests, equipment, or property.
10.3 In such circumstances no refund will be provided where service is curtailed due to unsafe or abusive behaviour.
11.1 Lo & Slo shall not be liable for failure or delay in performing its obligations where such failure arises from events beyond reasonable control.
11.2 Such events may include but are not limited to extreme weather, fire, flood, public health restrictions, war, terrorism, civil disturbance, power failure, supply chain disruption, transportation failure, or government action.
11.3 Where possible, Lo & Slo will work with the client to reschedule the event or provide a suitable alternative arrangement.
12.1 Services proceed in most weather conditions.
12.2 Where extreme or unsafe conditions arise, rescheduling shall be at the sole discretion of Lo & Slo. Cancellation in such circumstances does not automatically entitle the client to a refund where costs have been incurred.
13.1 We maintain appropriate public liability insurance.
13.2 Our total liability shall not exceed the total amount paid by the client for the booking, except in cases of death or personal injury caused by our negligence.
13.3 We are not liable for indirect or consequential loss.
14.1 These Terms & Conditions are governed by the laws of Northern Ireland, unless the event takes place in the Republic of Ireland, in which case Irish law shall apply.
